Description

Summary:

The Executive Assistant to the CEO at our Health system reviews, prioritizes, directs, and delegates a wide variety of complex and confidential requests presented to the executive for consideration. Provides administrative support in a variety of functions to the Chief Executive Officer focused on increasing the efficiency of the executive. The Executive Assistant to the CEO responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive. Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review. In addition, the Executive Assistant to the CEO creates or directs the creation of reports, charts, budgets, and other presentation materials for the executive. Coordinates high-level projects, travel arrangements, and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and understanding of the company's operations and business objectives.

Responsibilities:

  • Communicates with Board Members, coordinates on-site and off-site committee and Board of Directors' meetings including scheduling, meeting agendas, and preparation and submission of materials to the Board portal.
  • Conducts research to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Prepares draft presentations, spreadsheets, and other documents in support of executive priorities.
  • Drafts emails and templates to facilitate time management, as needed.
  • Organizes team communications and plans events, both internally and offsite.
  • Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships.
  • Upholds a strict level of confidentiality.
  • Maintains the CEO calendar, ensuring optimal and effective use of the executive's limited time.
  • Responds to a heavy volume of emails in a timely manner.
  • Answers phones, logs messages, and redirects calls as appropriate.
  • Coordinates executive communications, including fielding calls, responding to emails, and interfacing with patients, donors, employees, and the community.
  • Plans executive travel including flights, accommodations, meals, and car service as needed.
  • Assists other members of the office with various tasks as they arise.
  • Models and maintains Nuvance Health values.
  • Performs other related duties as requested.

Education: HS GRAD/EQUIVALENT

Other Information:

  • High School diploma: Additional qualification as a personal assistant would be considered an advantage.
  • Proven experience as an executive administrative assistant for at least 3 years, or in other senior administrative positions.
  • Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary.
  • Highly organized, meets deadlines, and is self-motivated to work independently.
  • Highly developed interpersonal skills including listening skills, attitude, exhibiting a professional, energetic, proactive, and enthusiastic demeanor.
  • Professional demeanor and presentation.
  • Superior attention to detail and highly organized.
  • Financially savvy; experience working with and tracking budgets for event planning.
  • Advanced knowledge of Microsoft Office including PowerPoint, Excel, and Word. Experience with other tools and technologies such as Prezi are a plus.
  • Excellent creative problem-solving skills.
  • Demonstrated ability to maintain a strict level of confidentiality in all matters.
  • Thrives in a fast-paced environment. Ability to prioritize and manage multiple projects at one time.
  • Discretion and Judgment: Ability to use discretion and sound judgment when handling confidential and sensitive information.
  • Adaptability: Capable of adapting to changing priorities and tasks.

  • Technical Proficiency: Familiarity with project management tools and communication platforms (e.g., Teams, Zoom).
