Description

Summary:

To provide a combination of secretarial, computer data entry, reception and clerical duties at the direction of the Administrative Nurse Manager or Designee.

rotating shifts as needed 7am-3:30pm and 3pm-11:30pm.

Responsibilities:

1. Transcription of Physician's Orders and computer skills. Criteria A: Transcribes Physician's Orders in an accurate and timely manner according to Norwalk Hospital's Policies and Procedures. Transcription of Physician's Orders and computer skills. Criteria B: Initiates or updates appropriate patient information in the Chart Review Conservation of the computer system where appropriate. Reviews data in Chart Review on a daily basis and eliminates any non-current data, according to unit standard. Transcription of Physician's Orders and computer skills. Criteria C: Notifies appropriate personnel of STAT orders. Accesses lab values when requested. Calls department for facilitation of transcribed orders when appropriate. Transcription of Physician's Orders and computer skills. Criteria D: Acts as an SME for all staff on the unit.
2. Record Maintenance Criteria A: Prepares, maintains and forwards records in an accurate and timely manner. Record Maintenance Criteria B: Replenishes and reviews records on a daily basis, according to unit procedures. Files all reports in the correct patient's records daily. Record Maintenance Criteria C: Prepares records for admission, transfer, surgery, procedures, discharge and expiration. Delivers expiration records to Admitting, immediately. Record Maintenance Criteria D: Processes discharge records according to standard chart order.
3. Communication Criteria A: Communicates effectively and courteously with patients, visitors, and coworkers within the scope of his/her responsibilities. Identifies unit and self when answering phone. Communication Criteria B: Uses a Windows-based computer system competently. Communication Criteria C: Assists the RN in care delivery by providing accurate and timely processing of communications. Relays information to appropriate person in a timely manner.
4. Occupational and Personal Responsibilities Criteria A: Demonstrates compliance with identified policies and procedures in carrying out unit assignments i.e., postings, work sheets, maintenance of data and knowledge of medical terminology. Occupational and Personal Responsibilities Criteria B: Demonstrates flexibility in floating to other units. Occupational and Personal Responsibilities Criteria C: Maintains neat and orderly appearance and environment. Occupational and Personal Responsibilities Criteria D: Completes all competencies and annual requirements as established by the Nurse Manager. Maintains personal Educational Record.
5. Equipment and Supplies Criteria A: Monitors, orders and oversees maintenance of equipment and supplies in a proper, orderly and cost-effective manner. Equipment and Supplies Criteria B: Enters and renews chargeable items/services into computer system for patient care correctly. Equipment and Supplies Criteria C: Contacts appropriate departments as directed by Manager/designee, for needed services on nursing unit.
6. Policy and Procedure Criteria A: Receives patient posting and assists in room assignments as necessary. Policy and Procedure Criteria B: Updates and maintains Unit Secretary Worksheets where appropriate. Policy and Procedure Criteria C: Assists in QA studies as assigned by the Nurse Manager/designee. Policy and Procedure Criteria D: Maintains and updates telephone listings.
7. Unit Rounds Criteria A: Checks all patient's line of vision, and/or identification bands and bed tags per unit standards. Unit Rounds Criteria B: Sorts and delivers patient mail when received. Unit Rounds Criteria C: Respects patients' privacy.
8. Fulfills all compliance responsibilities related to the position.
9. Maintain and Model Nuvance Health Foundational Values (Personal, Imaginative, Agile, Connected).
10. Performs other duties as required. 

Other Information:

Required: High School Graduate or equivalent. Two years previous secretarial/computer experience required with Windows based computer system. Hospital or other health care setting experience. Has completed formal Medical Terminology course.
Minimum Experience: two years
Desired: Overall performance rating of 3 or higher Requires a 3.5 or higher rating for Hospital-wide Competency of "Customer Service". Knowledge and experience in order to train and orient other unit secretaries Must possess the ability to multitask and perform duties under constantly changing priorities.
